The Finance and Administration Assistant in Oxford assists both the Finance Manager and the Administration Manager in carrying out all Oxford based tasks in a professional and efficient manner.
Key Responsibilities: Office Management & Administration- ensuring the smooth day to day running of the Oxford office and the Administration function, to include; • Assisting to cover the reception desk and telephones when needed • Assisting with tenders and supplier information requests • Setting up subscription access for customers • Supporting Sales Administrators in setting up orders to be invoiced on Salesforce • Assisting to book travel and accommodation for staff • Replying to all email requests from staff and customers in a timely manner
Bookkeeping and Accountancy • Using and maintaining the SAP Business ByDesign finance system • Raising invoices and sending them out to clients • Inputting supplier invoices • Raising Purchase Orders • Coordinating staff expense claims • Organising and monitoring petty cash • Maintaining spreadsheets • Dealing with customer queries
This is not an exhaustive list. The Finance and Administration Assistant must be prepared to work as part of a team and assist or carry out other duties as requested during periods of high workloads, sickness, holidays and emergencies.
Key skills and requirements: • Knowledge and experience of MS Office, especially Outlook, Word and Excel • Excellent communication and organisational skills • Excellent attention to detail • Excellent Customer service skills, especially when dealing with customers in writing and on the phone • Proven ability to take initiative and work independently • Some bookkeeping experience with SAP or similar finance software is desirable, however full training will be provided • Some administration experience with Salesforce or similar CRM software is desirable, however full training will be provided
