Responsibilities and deliverables: 

Managing the webinar programme 

Oxford Economics runs a global programme of between 10-20 live and pre-recorded webinars per month. Each broadcast in three timezones. The webinars are a complimentary offering available to our subscription clients. We also utilise the webinars as a marketing tool for generating upsell/cross-sell opportunities and for generating new business. The role holder will be responsible for: 

  • Curating and managing the schedule of webinars to ensure a full schedule, planning up to a year ahead and being mindful to avoid clashes and public holidays 
  • Liaising directly with the webinar presenters to obtain timely title and topic information ready for promotion of the webinar 
  • Preparation of webinar materials including: creation of webinar registration page and forms, creation of webinar invitations, collation and management of invitee lists, proofing and edits to presentation templates, preparation of promotional assets e.g. social media posts 
  • Setup and management and hosting of webinars using GotoWebinar 
  • Coordination with all webinar participants, ensuring all presenters are ready and prepared, sending invites and reminders etc 
  • Setup and management of well-designed actionable post-webinar surveys, ensuring that learnings are actioned and insights are shared 
  • Managing the webinar recording, ensuring the post-webinar follow up email is sent to attendees and no shows 
  • Working closely with the wider marketing team to leverage and repurpose webinar recordings and materials for content marketing purposes 
  • Use your copywriting skills to ensure that topics, titles and bios are catchy and interesting and reflect our brand goals to be perceived by our key audiences as a trusted and familiar partner, while nevertheless also ensuring we are perceived as novel and innovative, cutting through the noise to attract the attention we need to achieve our growth goals. 
  • Define and implement new tactics and strategies to improve the webinar programme 
  • Liaising regularly with senior internal stakeholders (BD, economists, marketing) about the upcoming schedule, optimisations and results 
  • Ongoing analysis of the webinar programme, monitoring and sharing of key KPIs, and the execution of optimisations to continuously improve the programme 

Managing the event programme 

Oxford Economics runs a programme of conferences including a quarterly conference in London and an annual conference in New York.  

  • Manage relationships with venues and other associated vendors 
  • Select and negotiate with venues and other vendors to secure the best rates and the most flexible terms for our events programme, monitoring their activities to ensure quality control 
  • Coordinate with colleagues and other stakeholders to ensure the smooth running of the events 
  • Support colleagues with travel bookings and other practical arrangements to ensure the smooth running of the events 
  • Stay abreast of trending topics and issues to ensure the event programme and topics are timely and relevant 
  • Implementing budget, invoicing and logistics 
  • Managing the promotions, communications and branding aspects of the event including commissioning artwork and printing of banners etc 
  • Supervising caterering, other on-site marketers and security etc 
  • Approving all activities for the event 
  • Preparation of presentation materials including proofing and styling of powerpoint decks to ensure brand consistency 
  • Preparing reports and making a presentation to management after the event 
  • Provide on-site support, manning the reception desk, helping clients with their badges, providing customer service to clients, providing directions and generally providing exceptional and professional customer support to our clients on-site 
  • Use your copywriting skills to ensure that topics, titles and bios are catchy and interesting and reflect our brand goals to be perceived by our key audiences as a trusted and familiar partner, while nevertheless also ensuring we are perceived as novel and innovative, cutting through the noise to attract the attention we need to achieve our growth goals.

Role Requirements: 

  • Minimum of 2 years’ relevant experience coordinating a portfolio of B2B webinars and/or events 
  • Experience with a marketing automation platform such as Hubspot or similar 
  • Experience with a CRM such as Salesforce or similar 
  • Experience with a webinar platform such as GotoWebinar 
  • Experience with an event booking platform such as Eventbrite 
  • Willingness to travel to attend events in person 
  • An interest in webinar and event marketing, staying abreast of the latest developments and trends in your field 
  • In-depth understanding of event management procedures  
  • Outstanding communication and negotiation skills 
  • Creativity and strong marketing acumen, great copywriting skills 
  • Professional and polite attitude, excellent customer service skills 
  • Proficiency in project management tools (Smartsheet experience desirable) 
  • Proficiency in digital event promotion tools such as social media channels 
  • Excellent organisational and time management skills with the ability to multitask 
  • Creativity, willing and unafraid to embrace change to drive improvement 
  • Self-confidence, drive, competence, and a willingness to learn 
  • Understanding of key performance indicators in events management  
  • Strong business awareness and commercial mindset
